What this site holds, and what the office behind it holds.

This page is written about this site and this office. It is not a general statement about data, and nothing on it has been copied in from somewhere else — if a thing is not described here, it is because this office does not do it.

The pages themselves

Six static pages, one stylesheet, one script file and two small icon files. No cookie is set by this site, for any purpose, so there is nothing to consent to and no banner to dismiss. There is no analytics, no tag manager, no pixel, no session recorder, no chat widget, no comment system, no advertising and no embedded map — the map on the opening page is drawn in the page as vector shapes.

One request does leave the page: the stylesheet for the two typefaces, Epilogue and Hind, is fetched from Google’s font service. That service therefore sees that a browser asked for those fonts, together with the address it asked from, in the ordinary way any web request is seen. Nothing is sent to it about what you did on the page, because the page sends nothing to anybody.

The two calculators

The changeover window calculator and the nights sheet both run inside the browser. The times and the minutes you type are held in one object in memory and are used to redraw the dial and reprint the arithmetic. They are not transmitted, not written to local storage, not kept in a cookie and not logged. Reload the page and the sheet defaults come back, because there is nowhere for your figures to have gone.

About a guest What the office writes down

A name, the dates of the stay, an email address or telephone number to reach you on, the unit reference, the meter readings at the start and the end, the changeover and inspection sheets covering your stay, and the messages exchanged about it. The reason each of those is held is the same reason it is written: a stay has to be arranged, a unit has to be handed over in a recorded condition, and the readings have to be attributable to someone.

How long: the booking record stays for the six years that company records have to be kept, because it is part of the accounts. An inspection sheet stays with the unit file for as long as that unit is on the schedule, because the next sheet is read against the last one. Messages are kept with the booking record and go when it goes.

About a landlord What the office writes down

A name and a correspondence address, the agreement under which the unit is managed, the unit file with its certificates and diary dates, the inspection sheets, and the statements of work done and parts ordered. These are kept for the life of the arrangement and then for the same six years as the accounts they appear in.

Where it sits, and who opens it

At the registered office: paper in the unit file, scans on an office machine kept there. Opened by whoever is working the sheet that the record belongs to, and not browsed otherwise. Nothing is sold. Nothing is passed to anyone for marketing. No decision about a guest or a landlord is reached by automated means — the calculators on this site decide nothing; they only print arithmetic.

Records go outside the office in exactly three situations: to the landlord of that unit, to a contractor who needs the detail of the job he is being sent to, and to a public authority where the law obliges it. In the second case the contractor is told the unit and the fault and nothing about the occupier.

Asking for a copy, a correction or a deletion

Write to stays@urbanvalueproperties.space with the dates of the stay or the unit reference, so the right file is opened. The office answers in writing. Where something has to be kept — an inspection sheet, a record that forms part of the accounts — the answer says so and says why, rather than agreeing to delete it and keeping it anyway. Where there is no reason to keep it, it goes and the reply says what went.

If the answer is unsatisfactory, the matter can be taken to the Information Commissioner’s Office, which is the United Kingdom’s regulator for this, independently of anything this office says.
